Privacy Policy — AI Concierge Service

This Privacy Policy explains how the StayLogicROI AI Concierge (the “Service”) collects, uses, and protects information. The Service is an automated messaging assistant that answers guests’ questions over WhatsApp on behalf of short-term-rental hosts, using property information the host provides. This policy is specific to the AI Concierge and is separate from the general StayLogicROI privacy policy.
1. Who We Are
The Service is operated by STAYLOGICROI (Joanna Falkowska-Czubkowska), ul. Przytulna 20B lok. 25, 80-176 Gdańsk, Poland. For any privacy question or request, contact joanna@staylogicroi.com.
For guests messaging a host’s WhatsApp number, the host is the controller of their guests’ data and STAYLOGICROI acts as a processor providing the automated reply service on the host’s behalf.
2. What Data We Process
- Guest messages & WhatsApp details: the content of messages a guest sends to a host’s connected WhatsApp number, the guest’s WhatsApp phone number and display name, and message metadata (timestamps, message IDs).
- Property / host content: the property information a host supplies for the assistant to answer from (e.g. check-in instructions, Wi-Fi details, house rules, local tips).
- Account & billing data (hosts): name, email, business/WhatsApp account identifiers, subscription tier, and payment records processed by our payment provider.
3. How We Use Data
- To generate and send automated replies to guest questions over WhatsApp.
- To route each conversation to the correct property and host.
- To operate, secure, support, and improve the Service.
- To process host subscriptions and comply with legal obligations.
We do not sell personal data, and we do not use guest messages to train third-party AI models.
4. Meta / WhatsApp Platform Data
The Service uses the WhatsApp Business Platform provided by Meta. Data received through WhatsApp is used solely to deliver the concierge reply service described here, in accordance with Meta’s Platform Terms and Developer Policies. We access this data only for the connected host’s account and do not combine one host’s data with another’s.
5. Sub-processors & Sharing
We share data only with providers needed to run the Service:
- Meta Platforms (WhatsApp Business Platform) — message delivery.
- OpenAI — generating the assistant’s replies via its API (API data is not used to train its models).
- Vercel — application hosting.
- Supabase — secure storage of host and property data, isolated per host (where applicable).
- Our payment provider — subscription billing.
Where data is transferred outside the EEA, we rely on appropriate safeguards such as Standard Contractual Clauses.
6. Data Retention
We keep property and account data for as long as the host uses the Service, plus a reasonable period afterward. Guest message data is retained only as long as needed to provide and support the reply service and is then deleted or anonymised. Billing and accounting records are kept as required by Polish law (approximately 5 years).
7. Your Rights
Subject to applicable law (including the GDPR), you may request access, correction, deletion, restriction, objection, or portability of your data, and may withdraw consent. Guests should direct requests to the host they messaged; we will assist the host in fulfilling them. You may also lodge a complaint with the Polish supervisory authority (UODO).
Data deletion: to request deletion of data held by the Service, email joanna@staylogicroi.com with the WhatsApp number or account concerned, and we will action it.
8. Data Security
We use industry-standard measures to protect data in transit and at rest, restrict access to authorised systems, and isolate each host’s data.
9. Children’s Privacy
The Service is not directed to children and we do not knowingly collect their data.
10. Changes
We may update this policy; material changes will be reflected by a new effective date on this page.
